Volunteer Policy 2026
This is a family run swim team, and parent volunteers are critical to a successful season. We do not require swimmers to compete in meets; however, we do require ALL families to complete a minimum 6 volunteer points. Families should try to balance their points “equally” between home and away meets. This is a big help as we head into the season to ensure we have full coverage both home and away.
All families (except for families whose only swimmers are Junior Barracudas) must sign up to volunteer for a minimum of 3 volunteer points at registration. Families may register for their complete volunteer points at the time of registration or wait to select the additional points once the season begins.
- Volunteer jobs at the Mock Meet (time trials) DO count towards your required point total for a maximum of 1 point per family. While families may request to volunteer for multiple jobs at the Mock Meet to familiarize themselves with different positions, only 1 point total per family will be awarded.
- Mock meet job sign ups will not be open at the time of registration. That meet will open once the season begins (5/18/2026).
- Events outside the dual meets,(ie, Cary City Meet, Pasta Potluck dinner, Awards Party, etc.) also count towards the family point total. Not all of these positions will be available at the time of registration
- All volunteer job descriptions can be found on the website. Please read carefully before selecting your position(s). No prior swimming experience is needed to do any job (with the exception of Stroke and Turn Judge). They all take just a few minutes to learn. Most full-season jobs are generally a 12 hour or more commitment (equivalent to serving 3 meets). Please understand this commitment before signing up. If you need help finding a job that fits your needs, please reach out to the Volunteer Coordinator prior to registration.
- Should you need to change a volunteer job, please do so by Monday at 5pm. In addition, please ensure you sign up for a new one immediately.
- It is your responsibility to know what jobs you have signed up for, what is required for that job, arrival time, end time, and to make sure your family completes the necessary points.
- It is essential all volunteers check in with the Volunteer Coordinator on time. Volunteers who do NOT check in by the time of the “job start” may run the risk of being “replaced” by another volunteer and will NOT get points for that job shift. We realize things happen - if you are coming but running late, please text a Board member or friend at the meet to alert us.
- Based on the volunteer needs of the meet, the Board of Directors reserves the right to reassign any volunteer to a necessary, unfilled position.
- Job lanyards should be worn at all times during meets
- Families who do not show up for their volunteer position, delete a job or jobs following the initial registration selection and don’t select replacement jobs, therefore falling below the required volunteer points at the end of the season, will be assessed a penalty fee at the conclusion of the season as outlined below.
- Please serve the ENTIRE meet even if you have a younger child who finishes earlier. If you need to leave, please find your own sub.
- We want you to succeed! All volunteer positions have a specific member of the board to help you with questions. Please don’t hesitate to email or reach out during meets or practices.
- Families who volunteer above and beyond requirements will be eligible for gift cards at the end of the season.
- While parent volunteers are essential to a successful swim team season, we understand that in rare cases, family situations may not be conducive for volunteering. If you feel your family has extenuating circumstances that may prevent you from meeting volunteer obligations, please reach out to the Board prior to registration. The board will consider the situation on a case-by-case basis.
PENALTY FEES
If, for some reason, you do not complete your entire volunteer requirement by the end of the season, we will assess a penalty fee as follows: 1 incomplete point $85, 2 incomplete points $170, 3 incomplete points $250, 4 incomplete points $340.00, 5 incomplete points $425, and 6 incomplete points $500. This penalty fee is pre-authorized within your registration. Should you not pay in full, your swimmer will not be eligible to swim in subsequent seasons.
