Meet Jobs

Assistant Clerk of Course

2-point job | 2 people per away meet, 3 people per home meet  | On deck, on your feet

Overview: Primary role is swimmer staging to keep the meet running on time.

Time & Commitment: Arrive 5:30 PM, stay through the end (~3–4 hours).

Physicality: On-deck, standing and walking continuously.

Detailed Responsibilities:

  • Receive heat assignments and swimmer list from Clerk of Course.
  • Guide swimmers into designated rows by heat and lane after Clerk places them.
  • Ask each swimmer their stroke (e.g. "butterfly") or remind them.
  • Offer encouragement; help adjust goggles or swim caps as needed.
  • Maintain order, quietly ensure no gaps or confusion in lineup.
  • If a swimmer goes missing or is misplaced: notify the Clerk of Course immediately.

Back-Up Volunteer

1-point job | 1 person per meet | On your feet

Overview: The "utility player" to fill in on short notice, requires flexibility and responsiveness.

Time & Commitment: Arrive 5:30 PM, work through meet end.

Physicality: On-deck, walking, standing, possibly heavy lifting in setup tasks.

Detailed Responsibilities:

  • Check in with the Volunteer Coordinator at the start of the meet.
  • Remain alert to be placed anywhere needed: timer, runner, clerk assistant, ribbon filer, etc.
  • Be ready to move quickly between duties.
  • Ask the Volunteer Coordinator if unsure where you're needed next.
  • If assigned a 2-point role, the records will be updated accordingly.

Clerk of Course

2-point job | 1 person per meet | On deck, on your feet

Overview: Lead organizer for swimmer staging and lane assignments.

Time & Commitment: Arrive 5:30 PM; attend Officials' Meeting 5:45 PM; stay entire meet. Mock meet training preferred.

Physicality: On-deck active role, standing and walking, using clipboards and interacting with swimmers.

Detailed Responsibilities:

  • Watch for announcements ("Event 12 to report to Clerk") and check the heat sheet for each swimmer's event/heat/lane.
  • Line up swimmers in assigned lanes (odd lanes = home, even lanes = away).
  • Confirm correct event/heat using heat sheets; guard against empty-lane misplacements.
  • Coordinate with Kid Pushers (they bring swimmers in order), verify each swimmer is placed correctly.
  • Keep the staging area organized.
  • Troubleshoot missing swimmers or entry errors.
  • Report any issues to the Meet Manager.

Garbage & Recycling

1-point job | 1 person per home meet | On deck, on your feet

Overview: Keep the pool deck clean and hazard-free.

Time & Commitment: Arrive 5:45 PM, stay through end.

Physicality: On feet, walking, bending, lifting trash bags repeatedly.

Detailed Responsibilities:

  • Monitor trash bins on deck; when full, tie bags, replace liners.
  • Walk full bags to dumpster or central collection area.
  • Check recycling bins and empty as needed.
  • Ensure deck stays clear of debris and hazards.
  • Communicate any safety issues to Meet Manager.

Heat Winner Ribbons

1-point job | 1 person per home meet | On deck, on your feet

Overview: Hand out single-race heat winner ribbons in non-main events.

Time & Commitment: Arrive 5:45 PM, work through meet's end.

Physicality: Standing and moving along deck.

Detailed Responsibilities:

  • Collect Heat Winner ribbons to be distributed from the ribbon boxes.
  • Be positioned where swimmers exit after each heat (end of the pool).
  • Hand out ribbons immediately to each heat winner for non-main events.

Hospitality

1-point job | 1 person per home meet | On deck, ability to be mobile throughout the meet

Overview: Hydration and snack supplier for coaches and volunteers.

Time & Commitment: Arrive 5:45 PM, remain through meet.

Physicality: Mobile on deck, carrying cooler or tray of supplies.

Detailed Responsibilities:

  • Load cooler with ice and bottled water.
  • Offer timely drinks to timers, judges, clerks, and coaches from both teams who cannot leave their post.
  • Replenish items as they deplete.
  • Report supply needs or issues to Meet Manager.

Ice Delivery

1/2-point job | 1 person per home meet

Overview: Ensures the Hospitality volunteer has the ice they need to keep the cooler stocked throughout the meet.

Time & Commitment: Ice must be delivered to the pool by 5:30 PM.

Physicality: Light; involves transporting bags of ice to the pool.

Detailed Responsibilities:

  • Purchase 2–3 bags of ice prior to the meet.
  • Deliver ice to the Hospitality volunteer at or before 5:30 PM.
  • Save your receipt - ice purchases will be reimbursed.

Kid Pushers

2-point job | 24 people per meet | On deck, on your feet

Overview: Age-group guardians who escort swimmers safely and in order.

Time & Commitment: Home meets: arrive 4:30 PM; Away meets: 5:00 PM; stay through meet end. 6 and under Kid Pushers MUST have a swimmer in that age group, as they are released after breaststroke.

Physicality: On-deck walking, occasional lifting (tents), supervising energetic children.

Detailed Responsibilities:

  • Lead your designated age group to the staging area before every race.
  • Ensure each swimmer has arms/shoulders marked correctly, goggles on, cap snug.
  • Line children up by event order, steady them until brought to the Clerk.
  • Remain with the group until the final event finishes.
  • Monitor safety and behavior; escalate issues to coaching staff or board members.
  • At home meets, clean up your assigned group area and help disassemble tents.
  • Check out with the Meet Manager before leaving.

Lead Timers

2-point job | 2 people per home meet | On your feet, on deck

Overview: Serves as the lead member of the timing team and provides backup support for all lane timers. This volunteer maintains a backup stopwatch for every main heat, provides timer breaks when needed, assists with timing issues, and operates the rope during 6 & Under events.

Time & Commitment: Arrive at 5:30 PM, attend the Officials' Meeting at 5:45 PM, and stay through the end of the meet.

Physicality: On-deck walking and standing throughout the meet. Must remain attentive, mobile, and able to move quickly between timing positions and the rope area.

Detailed Responsibilities:

  • Start a backup stopwatch for every main heat race at the same time as the Starter's signal.
  • Monitor lane timers throughout the meet and assist with any timing-related questions or issues.
  • Provide short breaks for timers as needed and temporarily cover timing lanes when necessary. Remain visible and available to timers throughout the meet.
  • Operate the rope for all 6 & Under events, lowering after the last heat of 15-18 girls and then raising it when all 6 & under girls are done.

Meet Setup

1-point job | 5 people per home meet, 4 people per away meet | Must be able to lift, carry, and move around the deck

Overview: Pre-meet physical preparation crew.

Time & Commitment: Home meets: arrive by 3:30 PM, work until setup complete. Away meets: same, plus transport gear from clubhouse.

MUST BE ABLE TO ARRIVE BY 4:00 PM or do NOT sign up for this position. Volunteers who arrive after 4:00 PM will NOT receive job credit.

Physicality: Heavy lifting, carrying tables, signs, chairs, PA equipment.

Detailed Responsibilities:

  • Away meets - connect with the Meet Manager on Monday to coordinate equipment transportation.
  • Transport tents, tables, lane signs, scorer's and announcer's stations.
  • Remove lounge chairs from deck, adjusting seating layout.
  • Set up speaker/PA system and scoring table.
  • Place signage for team areas, parking, age-group stations.
  • Confirm equipment placement with the Meet Manager before the meet.
  • Specific duties will be assigned upon arrival (parking setup, deck area setup, speaker/PA system setup, etc.)

For AWAY meets, meet at the North Pool Clubhouse to assist with transportation of equipment and supplies.

Meet Cleanup

1-point job | 7 people per home meet, 4 people per away meet | Must be able to lift, carry, and move around the deck

Overview: Post-meet teardown and storage crew.

Time & Commitment: Begin around butterfly events (~mid-meet) until all tasks complete. Ends later for away meets.

Physicality: Heavy lifting, sweeping, dismantling equipment, loading vehicles.

Detailed Responsibilities:

  • Collect clipboards, timing sheets, tidy tables, retrieve gear from officials.
  • Sweep pool deck candy, wrappers, debris.
  • Disassemble tents, signage, scoring/PA systems.
  • Return lounge chairs, umbrellas, and other pool furniture to original positions.
  • Take down trash; transport bags to the dumpster.
  • Load all gear in vehicles if away meet; return items to clubhouse.
  • Deliver any lost items to designated lost-and-found.

AWAY MEET cleanup staff will also be responsible for loading and transporting equipment, supplies, and team ribbons back to the North Pool Clubhouse following the meet.

Order of Finish Judge

2-point job | 1 person per meet | On deck, on your feet

Overview: Provides a backup visual record of the top 3 finishers in case timing systems fail.

Time & Commitment: Arrive 5:30 PM, attend Officials' Meeting at 5:45 PM, stay entire meet.

Physicality: Standing, attentive observation required throughout all races.

Detailed Responsibilities:

  • Stand near finish end of pool where you can see all lanes.
  • During every main heat, watch closely and visually identify 1st, 2nd, and 3rd place finishers.
  • Record your observations on a provided sheet.
  • You are the human backup in case the electronic timing or stopwatches fail.
  • No judging of stroke legality; only the finish order.
  • Work in tandem with the Order of Finish Judge from the opposing team.
  • Hand off completed sheets to the Runner.

Parking Lot Attendant

1-point job | 1 person per home meet | On your feet

Overview: Controls traffic and parking at home meets to ensure safe and orderly arrival.

Time & Commitment: Arrive by 4:00 PM, job ends once meet begins.

Physicality: Standing, walking, hand signaling to direct cars.

Detailed Responsibilities:

  • Be the first point of contact for arriving families.
  • Allow parking only to cars on the list (Board, Sponsors, etc).
  • Politely direct non-eligible vehicles to offsite/street parking.
  • Assist elderly or disabled guests with closer parking if arranged in advance.
  • Report issues or conflicts to Meet Manager.
  • Remain visible in your vest (provided) until the lot is full or meet begins.

Participation Ribbons

1-point job | 1 person per home meet | On deck, on your feet

Overview: Distributes "you did it!" ribbons to younger swimmers who didn't place in main heats.

Time & Commitment: Arrive 5:45 PM, serve until end of backstroke events (~1–1.5 hrs).

Physicality: Light walking, bending to kids' eye level.

Detailed Responsibilities:

  • Stand where swimmers exit pool after freestyle and backstroke events.
  • For non-main events, hand participant ribbons to 10-and-under swimmers who completed the race but didn't place.
  • Offer smiles and encouragement - it's a big deal for first-timers!
  • Direct kids who have questions about their race to their Kid Pusher or Coach.

Pool Monitor / Bathroom Monitor

1-point job | 1 person per home meet | On deck

Overview: Helps ensure safety around the pool and keeps restrooms clean and stocked.

Time & Commitment: Arrive 5:45 PM, stay full meet.

Physicality: Walking, light physical tasks.

Detailed Responsibilities:

  • Patrol deck area, especially slide pool (including stairs) and baby pool gates - no swimmers allowed in these areas during meets.
  • Gently remind swimmers and siblings to stay within safe zones.
  • Every 15–20 minutes, check both bathrooms for paper towels, soap, cleanliness.
  • If any restroom needs supplies or attention, notify lifeguards.
  • If a swimmer breaks rules, calmly direct them back, and notify a coach if needed.
  • Remain visible and proactive throughout the meet.

Relief Timer / Floater

1-point job | 1 person per away meet | On your feet, on deck

Overview: Acts as a substitute timer and helper for any on-deck position needing a break.

Time & Commitment: Arrive 5:30 PM, attend Officials' Meeting at 5:45 PM, stay entire meet.

Physicality: On-deck walking, standing; must stay alert and mobile.

Detailed Responsibilities:

  • Stand in assigned area near timers, remain visible to them at all times.
  • When a timer waves or signals break, step into their lane and continue timing.
  • Use provided stopwatch. Click to start when starter signal is given; stop when swimmer touches wall.
  • Record swimmer time on provided sheet accurately.
  • May also be asked to temporarily help other roles (runner, assistant clerk) as needed.
  • This role is fluid - no small children should accompany you.

Ribbon Filer

1-point job | 1 person per away meet

Overview: Files completed ribbons into swimmer family folders.

Time & Commitment: File ribbons by Friday 5:00 PM after each away meet (flexible timing).

Physicality: Light, can be done seated.

Detailed Responsibilities:

  • Retrieve prepared ribbons from clubhouse (they're returned by the cleanup crew).
  • Each ribbon has a swimmer's name/event/time sticker on it.
  • File each ribbon into the correct family folder (alphabetical order).
  • Double-check spelling and event number if unclear.
  • Report missing ribbons or issues to Volunteer Coordinator or Secretary.

Ribbon Writers

2-point job | 2 people per meet | Outside the clubhouse

Overview: Affix official time/place labels to ribbons and prep for delivery.

Time & Commitment: Arrive 5:45 PM, work entire meet.

Physicality: Sitting, writing/stickering, repetitive motion.

Detailed Responsibilities:

  • Receive printouts from scoring table (Meet Maestro system) with names, events, lanes, and times.
  • Match each swimmer to correct colored ribbon (1st = blue, 2nd = red, etc).
  • Carefully apply sticker label to each ribbon without wrinkles or misalignment.
  • Place ribbons in corresponding family file boxes (home meet) or pack them for clubhouse return (away meet).
  • Confirm any uncertainties with Data Manager or Volunteer Coordinator.

Runner

2-point job | 2 people per meet | On deck, mobility required

Overview: Moves documents (DQ slips and timer sheets) between stations quickly and accurately.

Time & Commitment: Arrive 5:30 PM, attend Officials' Meeting at 5:45 PM, stay full meet.

Physicality: High mobility, constant walking on deck.

Detailed Responsibilities:

  • Runner A picks up disqualification (DQ) slips from Stroke & Turn Judges and placement slips from Order of Finish Judges and brings them to Meet Admin.
  • Runner B gathers timer sheets from each lane after every event and delivers to Meet Admin Table.
  • Maintain speed and accuracy, documents must be legible and dry.
  • Do not block judges, timers, or coaches.
  • Always double-check you've collected all lane sheets for each heat.

Starter

2-point job | 1 person per home meet | On deck, on your feet

Overview: Leads each race start using a microphone and timing system. Highly visible role.

Time & Commitment: Arrive 5:30 PM, attend Officials' Meeting 5:45 PM, stay full meet. Swim meet experience preferred. Pre-season training and mock meet training required.

Physicality: Standing near the timing table, clear vocal projection needed.

Detailed Responsibilities:

  • Coordinate with Head Timer and Stroke & Turn Judges before each race.
  • Announce loudly and clearly:
    • "Step up" (for forward starts) or "Step in the water" (for backstroke)
    • "Timers and judges ready?"
    • Announce event number, distance, and stroke
    • "Take your mark…" (pause briefly) then press starter button
  • Watch for false starts and restart if necessary.
  • Maintain calm demeanor; consistency is key.
  • Communicate regularly with the Meet Manager and Data team.

Stroke & Turn Judge

2-point job | 1 person per meet | On deck, on your feet

Overview: Enforces legal swimming form per stroke, certified role with authority to disqualify.

Time & Commitment: Arrive 5:30 PM, attend Officials' Meeting 5:45 PM, full meet. Swim meet experience preferred. Pre-season training and certification required (1-point received for attending the training/receiving the certification).

Physicality: Standing near lanes, focused observation entire meet.

Detailed Responsibilities:

  • Closely watch assigned lanes for each stroke.
  • If a swimmer is not performing the stroke legally, write a DQ (disqualification) slip immediately.
  • Hand slips to the Runner.
  • Do not coach or assist swimmers, your role is rule enforcement.
  • Coordinate with other judges, Meet Referee, and TSA Rep.

Timers

2-point job | 10 people per home meet, varied for away meets | On your feet, on deck

Overview: Record official swim times for each lane throughout the meet.

Time & Commitment: Arrive 5:30 PM, attend Officials' Meeting at 5:45 PM, stay entirety of meet.

Physicality: On feet, on deck for the duration of the meet.

Detailed Responsibilities:

  • One Barracudas timer is needed for each of the pool's lanes.
  • Each lane will have two timers total - one from the home team and one from the away team.
  • Record each swimmer's time in your assigned lane and log it accurately on your timer sheet.
  • Start your stopwatch at the starter signal; stop when the swimmer touches the wall.
  • Ensure your timer sheet is legible and complete before handing it to the Runner after each event.
  • Signal the Relief Timer if you need a break.

Volunteer Check In 

1-point job | 2 people per away meet, 3 people per home meet

Overview: Keeps volunteer operations running smoothly at the start of every meet by ensuring everyone is checked in, informed, and equipped.

Time & Commitment: Arrive 3:45 PM for home meets, 4:15 PM for away meets.

Physicality: Light; stationed at check-in table with some walking as needed.

Detailed Responsibilities:

  • Work alongside the Volunteer Coordinator to manage volunteer check-in.
  • Greet volunteers as they arrive and confirm their assignment for the evening.
  • Ensure each volunteer understands their job and knows where to go.
  • Distribute any necessary equipment to volunteers at check-in.

Non-Meet Jobs

Awards Party Set Up

Overview: Assist the Events Coordinator with all setup tasks to prepare for the event.

Detailed Responsibilities:

  • Assist anywhere the Events Coordinator needs help.
  • May include speaker setup, arranging tables, and organizing medals.
  • Follow the Events Coordinator's direction for placement and priorities.

Awards Party Clean Up

Overview: Assist the Events Coordinator with all post-event cleanup tasks.

Detailed Responsibilities:

  • Assist anywhere the Events Coordinator needs help.
  • Dispose of garbage and clean up the deck area.
  • Return deck furniture to its original positions.

Full Season Jobs

Most jobs are a minimum of 12 hours, which is about the commitment of working 3 full meets and will complete all family volunteer requirements. Please reach out to [email protected] should you have any questions before signing up.

Announcer for Home Meets

Overview: Serves as the voice of the meet, keeping the crowd informed and the energy high throughout the evening.

Time & Commitment: Arrive 5:30 PM, stay the entirety of the meet.

Physicality: Stationed at the announcer's table; strong, clear voice required.

Detailed Responsibilities:

  • Communicate all announcements through the public address system.
  • Welcome the visiting team to the pool at the start of the meet.
  • Announce the officials for the evening.
  • Call each event as it is about to begin.
  • Announce team scores at regular intervals throughout the meet.
  • Work closely with the Starter and the Clerk of Course throughout the evening.

Needs a strong voice and thorough understanding of the order of events.

Cone and Sign Set Up

Overview: Prepares the surrounding streets and pool entrance with traffic cones and signage before each home meet.

Time & Commitment: Cones must be set up along streets around the pool by 12:00 PM on Tuesday mornings of home meets. "Home meet" signs must be set up by 5:00 PM on the Sunday preceding each home meet.

Physicality: Moderate physical labor required. Cones are heavy and must be carried and placed. Truck, SUV, or van required to haul cones.

Detailed Responsibilities:

  • Set up traffic cones along the streets surrounding the pool by the Tuesday noon deadline.
  • Place "home meet" directional signs by Sunday evening before each home meet.
  • Ensure all cones and signs are properly positioned and visible.

NOTE: Cones are heavy - you must be physically able to carry them. A truck, SUV, or van is required for this position.

Events Assistant

Overview: Supports the Events Coordinator board member with the planning and execution of team events throughout the season.

Detailed Responsibilities:

Provide assistance for the following events as directed by the Events Coordinator:

  • Kick-off Social
  • Age Group Socials
  • Coaches Appreciation
  • Cary City Championship Meet
  • Awards Party

Personal Best Ribbon Coordinator

Overview: Ensures every swimmer's personal best achievements are recognized and properly documented throughout the season.

Time & Commitment: Labels must be printed and filed into family folders by the Friday after each meet. Record Board updates are made on an as-needed basis.

Physicality: Light, can largely be done seated.

Detailed Responsibilities:

  • Print personal best labels after each meet.
  • Affix labels to the appropriate ribbons.
  • File completed ribbons into each swimmer's family folder by the Friday following each meet.
  • Update the Record Board as needed.

Photographer / Awards Video

Overview: Captures the season in photos and compiles a memorable end-of-year video for the Awards Banquet.

Time & Commitment: Arrive 5:45 PM and stay the entirety of each meet. Also attends practices throughout the season as needed.

Physicality: Mobile on deck; must be comfortable moving around to capture photos.

Detailed Responsibilities:

  • Take photos during practices and meets throughout the season.
  • Compile all photos into an end-of-year slideshow for the Awards Banquet.

Ribbon and Family Folder Coordinator

Overview: Lays the organizational groundwork for the season by preparing family folders and ensuring each meet is stocked with the right ribbons.

Time & Commitment: Setup must be completed before the first meet of the season. Ribbon bundle preparation is ongoing throughout the season before each meet.

Physicality: Light, can largely be done seated.

Detailed Responsibilities:

  • Organize all family folders before the first meet.
  • Order ribbons for the season.
  • Prepare ribbon "bundles" for each meet.

Saturday Morning Donuts

Overview: Brightens Saturday morning practice with donuts and juice for the team.

Time & Commitment: Every Saturday morning during practice.

Physicality: Light; involves carrying supplies to the pool.

Detailed Responsibilities:

  • Arrive each Saturday with donuts, cups, and juice.
  • Pass out donuts and juice during practice.
  • Purchase supplies from Walmart or Costco; discuss budget with the Treasurer prior to purchasing.
  • Submit purchases for reimbursement.

NOTE: All purchases must be from Walmart or Costco. Discuss budget with the Treasurer before purchasing. Costs will be reimbursed.

Timing System Troubleshooter / Timing Assistant 

7-point job | Works three meets | On deck

Overview: Keeps the timing system running smoothly throughout the meet, working closely with the Data Operator, Starter, and Meet Maestro Lead Operator.

Time & Commitment: Arrive by 5:30 PM and work the entirety of each meet. This position is split between two people, each working three (3) meets.

Physicality: Must be able to move quickly between data tables and individual lanes throughout the meet.

Detailed Responsibilities:

  • Run the timer meeting at the beginning of each meet.
  • Ensure all timers are working properly at the start of and throughout the meet.
  • Swap out batteries or equipment as needed.
  • Troubleshoot and assist the Starter if the timing system gets out of sync with heat assignments.
  • May act as a relief timer as needed.

Wednesday Night Popsicles

Overview: Delivers a mid-week treat to the team by passing out popsicles at Wednesday night practice.

Time & Commitment: Every Wednesday evening from 5:00–7:45 PM.

Physicality: Light; involves carrying a cooler to the pool and distributing popsicles. Bring several pairs of scissors.

Detailed Responsibilities:

  • Purchase ice pops and freeze well in advance.
  • Bring pre-frozen ice pops in a cooler to practice each Wednesday.
  • Pass out popsicles after each age group finishes practice.
  • Distribute to 13-and-ups before their practice begins.

NOTE: All purchases must be from Walmart or Costco. Discuss budget with the Treasurer before purchasing.
